This position is typically the first point of contact and serves as the initial source of information and assistance to prospective students, staff and the general public; performs a wide variety of clerical tasks involving heavy public contact in person and by phone in accordance with program policies and procedures.
The Receptionist position provides clerical and superior customer service support for the school in various areas that may include:
admissions, recruitment, financial aid and job development, in addition to other general office duties and responsibilities.
ESSENTIAL JOB FUNCTIONS (May include but is not limited to the following):
Greets students, staff and the public; determines needs and offers helpful information, direction or assistance as needed.
Provides superior customer service.
Maintains a friendly, professional and productive work environment (managing noise control) in the reception/ front lobby/designated work area.
Operates a multiple line telephone console to answer and direct incoming calls to appropriate extensions; assesses needs and provides assistance or referrals; screens calls and takes messages.
Performs standard clerical duties, filing, typing, faxing, ordering supplies and assisting in mail distribution as needed.
Enters data from various sources including applications and forms; inputs corrections and updates; verifies data for accuracy and completeness.
Maintains confidential records, student files, including progress reports that may be shared with sponsoring agents, complying with all federal and state laws regarding adherence to safeguards to protect confidential student data; provides a variety of reports.
Assists with conducting follow-up calls.
Operates a variety of office equipment including a copier, facsimile machine, and computer; inputs and retrieves data and text; organizes and maintains disk storage and filing.
Maintains inventory of office supplies and recruitment materials.
Attends staff development trainings which may require overnight travel.
Assists with special projects or events; runs general errands.
Conducts inspections of work areas and equipment; keeps a clean work area free of unnecessary hazards and reports any hazardous conditions to immediate supervisor.
Assists with responding to safety, security, emergency, or disaster situations as needed.
Performs other related duties as required.
REQUIRED KNOWLEDGE AND ABILITIES:
Knowledge of operation of computer equipment and various software programs, including word processing, database management, and spreadsheet applications software.
Knowledge of standard clerical/office procedures.
Knowledge of safety standards for office environment.
Ability to work, organize and carry out assignments.
Ability to work in a fast-pace environment.
Ability to answer high volume of calls and provide excellent customer service.
Ability to understand instructions and effectively communicate with others in a friendly and professional manner.
Ability to maintain confidentiality of sensitive information.
Ability to work effectively with a team.
Bilingual in English/Spanish is required.
EDUCATION AND/OR
Experience:
High school diploma or GED required.
Training or a minimum of 3 years experience in general office procedures.
Experience working with persons of diverse socio-economic and ethnic backgrounds.
LICENSE/CERTIFICATES:
Use of a personal or company vehicle for CET business may be necessary in the performance of assigned duties such as attending meetings and events, recruiting, transporting students, picking up materials, and running errands.
The Human Resources Department may request copies of a valid driver's license and proof of personal automobile insurance upon being hired and annually thereafter.

The check will bounce and the victim is left responsible.
